The idea of a Happy Birthday chatbot was born out of the need to automate employee congratulations. In companies with many thousands of employees, a simple task - preparing a card and sending it to the birthday person by mail - takes up quite a lot of valuable time of HR department employees.
The chatbot automatically generates an image with congratulation text and sends it to the birthday person in chat.
If the birthday person has an anniversary (20, 25, 30, 35, 40, 45, 50, 55, 60, 65 years), then the chatbot changes the text and image of the congratulation.
Adding congratulations
In the administrative part of the portal you can add and change congratulation texts and images.
In Birthday Greetings, select the folder where you want to add the new greeting. Then click “Add Item”.
In the “Congratulations” tab there are fields:
- Activity. If the checkbox is checked, the element will be used as a congratulation.
- Start of activity. Date from which the element will be used as a congratulation. The value may remain empty.
- End of activity. Date from which the element will no longer be used as a congratulation. The value may remain empty.
- Title. The title of the greeting, required to be filled in by the user.
- Character code. Congratulation identifier, optional.
- Sorting. The sorting attribute is indicated by a number ranging from 0 to infinity, the sorting index determines the order in which the chatbot uses congratulations. The closer the value is to 1, the higher it is in the general list. The default value is 500.
The fields “Age Verification” and “Anniversary Congratulations” are filled in if a congratulation on the anniversary is created.
- Age verification. Number – the value by which the anniversary age is checked.
- Anniversary congratulations. If the congratulations are congratulations on an anniversary, then you must check the “Anniversary congratulations” box. Then the chatbot will check the employee’s age by the value in the “Age Check” field, and if the age matches the set value, the employee will receive this congratulation.
- Picture for the announcement. An image is loaded into the announcement picture field; to do this, you need to drag the image into the field or click on it and select the file to upload.
- Description for the announcement. You can copy the finished text in the field or print it. There are standard text editing capabilities. When adding the hashtag #USER_NAME, the congratulations in the chatbot will subsequently address the birthday person by username.
